Resolution authorizing advance purchase of 2027 fleet vehicles and equipment, waiving competitive bidding for one Prentice 2124 log loader dump body, and directing staff to include 2028 fleet procurement authority in the 2027 budget resolution

WHEREAS, the Fleet Maintenance Division purchases vehicles and equipment for City departments to replace aging fleet assets using fleet equipment reserve funds; and
WHEREAS, advance ordering of 2027 fleet vehicles and equipment is necessary to avoid limited ordering windows, delivery delays, cancellations, and additional price increases; and
WHEREAS, the Fleet Division seeks authorization to order replacement vehicles and equipment planned within the equipment replacement budget in an amount not to exceed $1,105,000; and
WHEREAS, the Forestry Division requires a Prentice 2124 log loader dump body to be installed on a City-supplied Freightliner chassis; and
WHEREAS, waiver of competitive bidding for the Prentice 2124 log loader dump body is in the best interests of the City due to operational compatibility with an existing Forestry vehicle and the limited availability of dealers in Wisconsin.
NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Wauwatosa that the Fleet Maintenance Division is authorized to order 2027 fleet vehicles and equipment in advance of approval of the 2027 Operating and Capital Budgets, within the equipment replacement budget, in an amount not to exceed $1,105,000, and that the competitive bidding requirement is hereby waived for the purchase of one Prentice 2124 log loader dump body, and that staff is directed to include in the 2027 budget resolution authority for the Fleet Superintendent to initiate the procurement process for 2028 vehicles in 2027, provided that such vehicles are funded through the Fleet Equipment Reserve and that the Reserve maintains a sufficient balance.
